DRAFT FOR LEGAL REVIEW. NOT FINAL. Version 10/19/2026.sm1.
Privacy Policy
HaulQuote ("we", "us") is operated by [LLC NAME], an Arizona limited liability company. HaulQuote is a free tool that lets trucking companies look up public FMCSA records for a USDOT number and see an educational indicator and what-if view built by us. We are not an insurance agency, broker or insurer. We don't sell insurance, we don't introduce you to brokers, and we do not sell or share your personal information.
Information we collect
- Public records. FMCSA data for the USDOT numbers you look up (company census, authority, inspections, crashes and insurance filings). This is public information about businesses.
- Information you give us. We don't offer accounts, broker requests or document uploads. If you send a privacy request, we collect what you put in the form: request type, email, name, state and details.
- Automatically.
- Lookup records: for each report lookup we record the USDOT number looked up, whether it was found, the time, and a hashed version of your IP address. We never store your IP address in readable form. We turn it into a one-way, keyed hash, shortened to 16 characters, so we can spot abuse and repeat lookups without keeping the address. We use your raw IP address only briefly in memory to limit request rates. We don't store your browser or device type with lookups.
- Aggregate usage counts. Daily totals of pages viewed, the website that referred a visit (domain only) and campaign tags in links. These totals hold no identifier and are kept as totals.
- Usage measurement. We measure how people use the site with our own tools, hosted by us. We set a random identifier in a first-party cookie so we can count visits and see which pages and steps people use. It isn't linked to your name, email, USDOT number or IP address, and we don't share it with anyone. We keep this usage data for 13 months, then keep only totals. If your browser sends a Global Privacy Control signal, or you choose "Stop measuring this browser" in Your Privacy Choices, we don't set this identifier.
- Cookies: when you open a report we set a session cookie that remembers your most recent report for up to 8 hours. It's essential to the site, isn't used for tracking, and is cleared when it expires. Testers given preview access also get a preview cookie that lasts 30 days. We don't use advertising or third-party cookies.
- Usage cookies.
hq_aid: a random identifier for counting visits, kept 13 months. hq_noaid: remembers that you chose Stop measuring this browser, kept 13 months. hq_ab: which version of a page you saw, kept 90 days (only when page tests are running). We don't set hq_aid or hq_ab if your browser sends Global Privacy Control.
How we use it
- To produce your report and the what-if view.
- To prevent abuse (including rate limiting), keep the service secure, and understand overall usage through aggregate counts.
- To respond to privacy requests and comply with law.
How we share information
We do not sell or share personal information (as "sell" and "share" are defined in the California Consumer Privacy Act and similar state laws), and we haven't done so in the past 12 months. We don't give personal information to insurance brokers, insurers, data buyers or advertisers. We use service providers that host and run the service for us and process information only on our instructions. We may disclose information if the law requires it or to protect the rights and safety of users or others.
Your choices and rights
- Your Privacy Choices: to ask us to access, correct or delete your information, use our privacy request form or email [CONTACT EMAIL]. We don't sell or share your personal information. To stop usage measurement in this browser, choose Stop measuring this browser. A Global Privacy Control signal does the same automatically.
- Because lookup records hold only a hashed IP, we may not be able to link them to you. Tell us the USDOT numbers and dates involved and we'll do our best.
- We won't discriminate against you for exercising your rights. You can use an authorized agent; we may verify your identity and the agent's authority.
Retention and security
- Lookup records (USDOT number, result, time, hashed IP): kept for 12 months, then deleted.
- Aggregate daily usage counts: contain no personal information; kept for 24 months.
- Usage events tied to the random identifier: 13 months, then only totals are kept.
- Session cookie: expires after 8 hours. Preview cookie (testers only): 30 days.
- Raw IP addresses: held only in memory for rate limiting and never saved. Any older record that holds a raw IP is converted to a hashed IP within 30 days.
- Privacy requests: kept for 24 months from when we receive them, so we can show we handled them, then deleted.
- We use reasonable safeguards (keyed hashing of IPs, access controls, HTTPS). No method of storage or transmission is 100% secure.
Children
The service is for businesses and isn't directed to children under 16. We don't knowingly collect their information.
Changes
We'll post any changes here with a new version and date, and flag material changes on the site.
